These Terms of Service ("Terms") govern your use of the PermitKeep mobile application and website (collectively, the "Service") operated by PermitKeep ("we," "our," or "us"). By using the Service, you agree to these Terms.
1. Service Description
PermitKeep is a permit and license tracking application designed for restaurant and food service businesses. The Service allows you to digitize, organize, track, and receive reminders about your business permits, licenses, and certifications.
2. Account Registration
To use PermitKeep, you must create an account with a valid email address. You are responsible for maintaining the security of your account credentials and for all activity under your account. You must provide accurate and complete information when creating your account.
3. Acceptable Use
You agree to use PermitKeep only for its intended purpose of tracking legitimate business permits and licenses. You may not:
- Use the Service for any unlawful purpose or to violate any laws.
- Upload fraudulent, forged, or misleading permit documents.
- Attempt to access other organizations' data or circumvent security measures.
- Use the Service to store content unrelated to business permits and compliance.
- Reverse engineer, decompile, or disassemble any part of the Service.
4. Your Data
You retain ownership of all permit data, photos, and business information you upload to PermitKeep. You grant us a limited license to process, store, and display your data solely for the purpose of providing the Service. We will not sell your data to third parties. 5. OCR and Data Accuracy
PermitKeep uses optical character recognition (OCR) to extract text from permit photos. While we strive for accuracy, OCR results are not guaranteed to be 100% correct. You are responsible for reviewing and verifying all extracted data before relying on it. PermitKeep is a tracking tool — it does not replace your obligation to maintain valid permits and comply with all applicable regulations.
6. Reminders and Notifications
PermitKeep provides reminder notifications as a convenience feature. We do not guarantee delivery of all notifications, and delivery depends on your device settings, network connectivity, and push notification service availability. You remain solely responsible for tracking your permit renewal deadlines regardless of whether you receive reminders from our Service.
7. Inspector Share Links
Inspector share links make selected permit information publicly accessible via URL. You are responsible for managing who has access to your share links and for deactivating links when no longer needed. We are not responsible for any consequences arising from unauthorized access to your share links.
8. Subscription and Billing
PermitKeep offers paid subscription plans. During our beta period, the Service is provided free of charge. When paid plans become available, we will provide advance notice of pricing and billing terms. Subscriptions will auto-renew unless cancelled before the renewal date. Refund policies will be communicated at the time of launch.
9. Service Availability
We strive to keep PermitKeep available at all times but do not guarantee uninterrupted access. The Service may be temporarily unavailable for maintenance, updates, or due to circumstances beyond our control. We are not liable for any losses resulting from service interruptions.
10. Limitation of Liability
To the maximum extent permitted by law, PermitKeep shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service. This includes, without limitation, any fines, penalties, or business losses resulting from missed permit renewals, inaccurate OCR data, or undelivered notifications. Our total liability shall not exceed the amount you paid for the Service in the 12 months preceding the claim.
11. Disclaimer
PermitKeep is provided "as is" and "as available." We make no warranties, express or implied, regarding the Service's fitness for a particular purpose, accuracy, or reliability. PermitKeep is not a legal or compliance advisory service. You should consult appropriate professionals for legal and regulatory guidance.
12. Termination
You may delete your account at any time through the app settings. We may suspend or terminate your account if you violate these Terms. Upon termination, your data will be deleted within 30 days unless we are required to retain it for legal purposes.
13. Changes to Terms
We may update these Terms from time to time. We will notify you of material changes via email or in-app notification. Continued use of the Service after changes constitutes acceptance of the updated Terms.
14. Governing Law
These Terms are governed by the laws of the State of Rhode Island, without regard to conflict of law principles. Any disputes shall be resolved in the state or federal courts located in Providence County, Rhode Island.
